See Cookies below.
3. INFORMATION ABOUT CHILDREN
A significant part of Team Up's business involves school ski trips, so some orders may contain information relating to children or young people.
We only seek information that is reasonably necessary to administer the order, provide appropriately sized clothing/accessories and support the relevant ski trip.

Where appropriate, information about a pupil should be provided by their parent, guardian, school or another authorised adult.
We do not intend to use pupil information for unrelated purposes.

We ask customers, parents and schools not to provide unnecessary sensitive information about a child when completing an order or enquiry.
Because children require particular consideration when organisations process their information, privacy information involving them should be presented clearly and appropriately. ICO guidance emphasises clear, plain-language privacy information, including where vulnerable people such as children are involved.

4. HOW WE COLLECT INFORMATION
We may collect personal information:
Directly from you, for example when you:

  • place an order;

  • complete an online form;

  • complete a paper order form;

  • make a school/group enquiry;

  • request an appointment;

  • contact us by telephone or email;

  • visit our premises; or

  • communicate with Team Up.

We may also receive relevant information from a school, group organiser, parent or other authorised person where necessary to administer a school or group order.

If we obtain personal information from another source rather than directly from the individual concerned, UK GDPR transparency requirements can require privacy information to be provided within a reasonable period and generally no later than one month, subject to applicable exceptions.

5. HOW WE USE YOUR INFORMATION
We may use personal information to:
Process orders
To receive, confirm, prepare, fulfil and administer orders for ski clothing hire and purchased goods.
Provide appropriately sized items
To use measurements and sizing information to help prepare suitable ski clothing and accessories.
Manage hire clothing
To record items on hire, manage their return and deal with late, missing or damaged items.
Manage school and group trips
To administer orders associated with schools and groups, including relevant ordering deadlines, preparation and return arrangements.
Communicate with you
To respond to enquiries, provide order information, arrange appointments and contact you where necessary about your order.
Take and manage payments
To process payments, refunds and other transactions where applicable.
Operate our website
To provide website functionality, security and, where applicable, understand how the website is being used.
Meet our legal obligations
For example, maintaining appropriate financial and transaction records and responding to lawful requests.
Protect our business
To prevent fraud, misuse, security incidents and protect our legal rights where necessary.

6. OUR LAWFUL BASES
UK data protection law requires us to have an appropriate lawful basis for processing personal information.
Depending on the circumstances, Team Up may rely on:
Contract
Where processing is necessary to take steps at your request before entering into a contract or to perform our contract with you.
For example, processing the information required to fulfil your ski-hire order.
Legitimate interests
Where processing is necessary for a legitimate business purpose and those interests are not overridden by your rights and interests.
This may include managing customer enquiries, improving our services, maintaining appropriate business records and protecting the business.
Legal obligation
Where we need to process information to comply with a legal requirement.
Consent
Where we specifically ask for and receive your consent, for example for certain forms of optional electronic marketing or non-essential website technologies where consent is required.
Where we rely on consent, you can withdraw that consent subject to applicable law.

7. PAYMENTS
If online payment is introduced, payments may be processed through a specialist payment provider rather than directly by Team Up.
Payment providers may collect information such as card details and transaction information under their own privacy arrangements.
Team Up should not unnecessarily store complete payment-card details.
Before publishing this section, insert the actual payment provider used by your Wix website once you have chosen one.
For example:
“Online payments are processed securely by [PAYMENT PROVIDER].”
Do not name Stripe, PayPal, Wix Payments or another provider until you know which one is actually being used.

8. WHO WE MAY SHARE INFORMATION WITH
We do not sell your personal information.
We may share personal information where reasonably necessary with organisations that help us operate Team Up, such as:

  • website and hosting providers;

  • payment processors;

  • IT and technical service providers;

  • delivery/courier providers where applicable;

  • professional advisers such as accountants or legal advisers;

  • schools or group organisers where necessary to administer the relevant trip or return process; and

  • government, regulatory or law-enforcement bodies where disclosure is legally required.

Service providers should only receive information necessary for the services they perform and should handle it appropriately.

9. SCHOOLS & GROUPS
Where an order is connected with a school or group trip, Team Up may need to communicate with the relevant school or trip organiser.
This could include information necessary to:

  • identify the relevant pupil/order;

  • administer the trip;

  • organise distribution or collection;

  • identify outstanding hire items; or

  • resolve an issue relating to an order.

We will aim to limit information shared with schools/groups to what is reasonably necessary for these purposes.
The current Team Up process includes collecting returned hire clothing from the school, so some coordination between Team Up and the school is necessary for that process.

10. MARKETING
We may tell existing or prospective customers about Team Up products, services or future ski seasons where we are legally permitted to do so.
Where consent is required, we will ask for it.
You can ask us to stop sending marketing communications at any time.
Transactional messages about an order, appointment, return or enquiry are different from marketing communications and may still be sent where necessary.
Electronic marketing is also regulated by the Privacy and Electronic Communications Regulations (PECR), which operate alongside UK data protection law.

11. COOKIES & WEBSITE TECHNOLOGIES
Our website may use cookies and similar technologies.
Some cookies are necessary for the website to work properly, for example to provide security or remember items during an online checkout.
Other technologies may be used for purposes such as:

  • analytics;

  • remembering preferences;

  • measuring website performance; or

  • marketing, if used.

Where consent is legally required, non-essential technologies should not be activated until the visitor has made the appropriate choice.
The ICO states that organisations need to give users clear information about cookies/storage technologies and provide appropriate control over non-essential ones.

You can find more information in our:

COOKIE POLICY
and manage your preferences through our website's cookie settings where available.

12. HOW LONG WE KEEP INFORMATION
We will not keep personal information for longer than reasonably necessary for the purpose for which it was collected.
The appropriate retention period depends on the type of information and why we hold it.
For example:
Order and financial records may need to be retained for an appropriate period to meet accounting, tax, contractual or legal requirements.
Hire records may be retained for an appropriate period after the hire has ended to resolve returns, payments, loss/damage issues or disputes.
Enquiry information may be deleted when it is no longer reasonably required.
Pupil sizing information should not be retained indefinitely simply because the pupil previously ordered from Team Up.
We will periodically review the personal information we hold and delete or securely dispose of information that is no longer required.
The ICO specifically identifies retention periods as information that should be addressed in a privacy notice.

13. KEEPING INFORMATION SECURE
We take reasonable organisational and technical measures to protect personal information against:

  • unauthorised access;

  • accidental loss;

  • misuse;

  • alteration;

  • disclosure; and

  • destruction.

Access to personal information should be limited to people and service providers who reasonably need it.
However, no internet-based system can be guaranteed to be completely secure.

14. INTERNATIONAL TRANSFERS
Some third-party technology providers used to operate our website or business may process information outside the United Kingdom.
Where personal information is transferred internationally, we will take appropriate steps required by applicable data protection law to protect that information.

The exact position will depend on the providers actually used by the Team Up website.

15. YOUR DATA PROTECTION RIGHTS
Depending on the circumstances, UK data protection law may give you rights concerning your personal information, including the right to:
Access
Ask for a copy of personal information we hold about you.
Correction
Ask us to correct inaccurate or incomplete information.
Erasure
Ask us to delete personal information in certain circumstances.
Restriction
Ask us to restrict the processing of your information in certain circumstances.
Object
Object to certain uses of your information.
Data portability
Request certain information in a portable format where this right applies.
Withdraw consent
Where processing is based on consent, withdraw that consent.
Not every right applies in every circumstance.
To exercise a right, contact:
miki@teamupskiwear.com
We may need to verify your identity before fulfilling a request.

16. COMPLAINTS
If you have a concern about how Team Up has handled your personal information, please contact us first so we can investigate it.
Team Up Skiwear
Email: miki@teamupskiwear.com
Telephone: 07771 641 059
You may also have the right to complain to the UK's data protection regulator:
Information Commissioner's Office (ICO)
I'd link “Information Commissioner's Office” to the ICO website rather than hard-coding telephone numbers or addresses that may change.

17. THIRD-PARTY LINKS
Our website may contain links to websites operated by third parties.
Team Up is not responsible for the privacy practices of independent third-party websites.
We recommend reviewing their privacy information before providing personal information to them.

18. CHANGES TO THIS POLICY
We may update this Privacy Policy from time to time, for example if our website, ordering process, service providers or legal obligations change.
The latest version will be published on our website with an updated revision date.
The ICO recommends regularly reviewing privacy information and informing people about new uses of their information before beginning the new processing.
